Dynamic: SharePoint advanced settings

When dealing with additional site type settings for a Dynamic: SharePoint drive, it is essential to understand the different Microsoft 365 services it supports, including SharePoint, Microsoft Teams, and Microsoft 365 Groups. This topic will briefly discuss these services and their impact on a mapped Dynamic: SharePoint drive.

Sites with anonymous access

The Sites with anonymous access checkbox controls the visibility of sites that allow access to anyone within a security group, such as Everyone except external users. A security group such as Everyone except external users includes everyone within an organization, meaning all users and devices with an active account in an organization’s Microsoft Entra ID tenant. Microsoft 365 adds this security group to Microsoft 365 Groups associated with SharePoint sites by default. When you select this checkbox, all such sites within your SharePoint content ecosystem will show in the mapped drive.

When you’re a direct or nested member of such sites, they will show in your mapped drive even if this check box is not selected. You are a direct member of a SharePoint site when granted explicit permissions to access and interact with its content. These permissions are assigned directly to your Microsoft 365 account or a group you are a member of. On the other hand, nested members are those with specific permissions within a subsite.

Microsoft 365 Groups

Microsoft 365 Groups (formerly Office 365 Groups), also known as Unified Groups, enable you to select a group of colleagues you want to collaborate with and configure a collection of resources for the group to share. These can include a shared mailbox and calendar, a SharePoint team site with a OneNote notebook, Microsoft Planner, and Microsoft Teams. When you create a Microsoft 365 Group, you don’t have to worry about manually assigning permissions. You can do that by simply adding members to the group. Doing so automatically gives them the permissions they need to access the group’s resources.

You can also create a team site without Microsoft 365 Groups. Such sites are standalone SharePoint sites that are not associated with any of the shared resources provided by Microsoft 365 Groups. A SharePoint site without Microsoft 365 Groups gives you the flexibility to tailor it for specific purposes along with direct control over the site’s entire content ecosystem (subsites, document libraries, and so on).

Team sites without Microsoft 365 Groups

When you select this check box, team sites without Microsoft 365 Groups will show in the mapped drive.

Communication sites

Before we discuss Communication sites without Microsoft 365 Groups, it will be helpful to differentiate between communication sites and team sites in SharePoint. Communication sites allow you to broadcast information to a broad audience - for example, company-wide announcements, updates, and similar content that does not require collaboration. A team site, on the other hand, allows you to collaborate with a specific group or team. Members of a team site can work together to create, edit, and share content. A team site includes document libraries, lists, and shared calendars and is typically associated with a Microsoft 365 Group.

By default, a communication site is not associated with a Microsoft 365 Group when you create it. It is a standalone SharePoint site that is not associated with any shared resources provided by Microsoft 365 Groups.

Communication sites without Microsoft 365 Groups

When you select this check box, communication sites without Microsoft 365 Groups will show in the mapped drive regardless of your membership type.

Microsoft Teams document library

When you create a new team, Microsoft Teams automatically creates a SharePoint site for your team in the background. The document library associated with that SharePoint site becomes the default location for you and others on your team to store, access, and collaborate on files in real time. Due to its integration with SharePoint, your team can also track file changes and revert to a previous version when needed. When you add a channel to your team, each channel is assigned a folder within the document library.

Show Microsoft Teams document libraries

When you select this check box, Microsoft Teams document libraries will show in the mapped drive.

Cache refresh frequency

CDM caches a list of your SharePoint sites, subsites, document libraries, and folders within document libraries mapped to a Dynamic: SharePoint drive. It only does this to avoid overburdening Microsoft services, which can adversely impact the performance of your Microsoft 365 tenancy. By default, CDM refreshes this list every 3 hours, meaning that changes to the SharePoint sites you are a member of will not reflect in your Dynamic: SharePoint drive in real time. If it is imperative that you see these changes reflected in your Dynamic: SharePoint drive immediately, consider exiting CDM and signing in again.

The Cache refresh frequency field allows you to change the maximum time for which the local cache stores the mapped drive’s folder structure.
